Adding and Assigning RFIs

Start an RFI, choose an RFI manager and Assignees.

This guide will walk you through the process of adding and assigning RFIs (Request for Information) in SiteMax, ensuring effective communication and streamlined information requests within your projects.

Step 1: Accessing the RFIs Section

  • From the Dashboard, select a project.

  • On the sidebar menu, click on "RFIs."

Step 2: Adding an RFI

  • On the RFIs page, click "Add RFI."

  • Fill out all the required fields as specified by your administration.

Understanding the fields when adding RFI:

  • RFI Number: This is automatically generated in a sequential order.

  • Urgency: Specify the level of urgency for your request, which helps prioritize responses. Marking RFIs as "high-priority" can expedite the response time.

  • Status: The status is automatically assigned as open, closed, draft, or assigned.

  • RFI Title: Provide a descriptive title for the RFI.

  • RFI Manager: The RFI Manager oversees the RFI throughout its lifecycle.

  • Ball in Court: The responsibility for the RFI remains with the RFI Manager.

  • Created By: Indicates the person who created the RFI.

  • Initiated by: Choose the user or contact initiating the RFI.

  • Recipients: The recipient list is populated from your user and contact list. Contacts need to be granted external user access to show up. You can add multiple recipients.

  • RFI Assignee: Select the assignee from the recipients who will be responsible for providing the requested information.

  • Location: Select the relevant area pertaining to the RFI from the dropdown list.

  • Drawing: Link an existing drawing to the RFI if applicable.

  • Other Reference: Provide any additional relevant information.

  • Schedule Impact (in days): Enter the number of calendar days indicating the impact on the schedule.

  • Cost Impact: If known, enter the amount by which the cost will be impacted.

  • Question: Enter the RFI question, ensuring to include any necessary background information or attachments required for the respondent to provide an answer.

  • Attachments: Attach any relevant documents or files to the RFI.

  • Internal Notes: Internal user-specific notes visible only on the Internal user RFI screen, without a PDF or external user/email component.

Step 3: Submit RFI

Submitting the RFI Once you have assigned and saved the RFI, click "Submit RFI" to allow for responses from the assignee and other relevant parties.
