Making Time Reporting Easy: Create a Custom Template

A Time Report Template is a pre-designed document or digital format used to record and summarize the time spent on various tasks or activities within a project.

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project materials. This can be done per individual or by applying Permission Templates.

In order to access Company Time Reports, users will need Manage permissions for Timecenter

Two Ways to Create Time Report Template

We wanted this article to be as easy to understand as possible before we begin. Check out the difference between Time Center and Timecards.

1. Create Using Time Center

Dashboard > Time Center > Reports Tab

Step 1: Accessing Time Center

  1. Navigate to the Dashboard.

  2. Locate and click on the "Time Center" module in the side menu.

Step 2: Creating a Time Report Template

  1. In Time Center, switch to the "Reports" tab.

  2. Look for the "+" symbol (Add Template) and click on it.

  3. This action will take you to the "Create Report Template" page

Step 3: Customizing Your Template

  1. Fill in the fields based on the data points you want to appear.

Step 4: Saving Your Template

  1. Once satisfied with your selections, hit the "Save" button.


2. Create Using Time Cards

Dashboard > Time Card > Reports Tab

Step 1: Navigating to Time Cards

  1. From the Dashboard, select a project of your choice.

  2. Click on the "Time Card" module in the side menu.

Step 2: Accessing Reports

  1. In the Time Card section, switch to the "Reports" tab.

  2. Look for the "+" symbol (Add Template) and click on it.

  3. This action will take you to the "Create Report Template" page.

Step 3: Customizing Your Template (Similar to Time Center)

  1. Fill in the fields based on the data points you want to appear.

Step 4: Saving Your Template (Similar to Time Center)

  1. Once satisfied with your selections, hit the "Save" button.



Understanding Report Template Fields

  • Template Name: This is the name of your time report, which helps in easy identification.

  • Template Type: It categorizes your report (e.g., Payroll).

  • Template Description: Optionally, add a short description for reference.

  • Use Calculated Time Types: Choose between system-calculated overtime rules or manual input.

  • Show Financial Calculations: Opt to display financial calculations based on system time OT rules or manual input.

  • Columns: Customize the visible columns using the "eye" and arrange them using the "four lines" icon.

  • Group By: Organize the report by toggling visibility and arranging items.

  • Sort By, Date Format, Time Format, Hour Format, Name Format: Additional options for report customization.

  • Cost Type: Select from Labour, Equipment, or Material.

  • Include in Report: Decide what to include - Work Types, Cost Codes, Project Tags, and User Tags.

  • Exclude from Report: Choose what to exclude - Work Types and Cost Codes.

Filtering Time Reports

Once you've created a number of Time Center templates, you may find you want to narrow down your scope. This is where filtering comes in handy. If you just want to see reports that include certain materials, equipment, or employees, use the filter option below your list of reports.


From there, you can choose the filters you wish to search through your reports.
