Overview

In project management, tasks are used to track the actions or activities needed to accomplish project objectives. Tasks may have specified timelines, assignees, and deadlines. Organizing and monitoring these tasks is important to maintain project momentum and complete the project on time.

SiteMax's Tasks feature helps you manage your project's tasks, making it easy to create, assign, view, and organize. Tasks are created within Lists, providing a framework to organize tasks according to your preferred structure and organization. Lists and Tasks can be created at the Project or Company Level.

Tasks Lists

Tasks Lists are an effective way to keep track of your goals - big and small. With Tasks Lists, you can quickly organize and prioritize your tasks, so you can focus on what's important and have the motivation to stay on track and make progress.

Tasks are always associated with a list. Lists are useful for categorizing your Tasks to meet your project needs. When creating a list, you will be asked whether the Task Format will be with a Due Date or a Start/End date.

The Due Date task format is useful for tasks not bound by a specific duration or start date, particularly useful for creating checklist items.

On the other hand, the Start/End Date task format is ideal for managing tasks with defined durations. It enables a Look Ahead view, illustrating task durations across a calendar, and aiding in visualizing task timelines.

Look and Plan Ahead

It's important to keep an eye on the bigger picture when you are creating a Task List. Use the look-ahead feature to see your tasks spread across the Project's timeline and consider the goals you'd like to achieve. Your Task Lists should reflect those goals and help you stay on track.

By creating and maintaining the Project's tasks list, you'll be able to see the Project's progress and keep your team on track. You'll also be more organized and can easily prioritize what needs to be done. With a clear overview of the Project's tasks, you can stay on top of work and make sure you meet your objectives.

Task and Subtasks

Task Details

  • A task can be named as an action item, for example: "Pick up Equipment."

  • Each task requires Assignees that can either be individual users or a Crew (using the team icon next to Assignees).

  • Give the task a Due Date or Start and End Date (depending on your chosen task format)

  • Add a Start and End Time to give the assignee(s) exact task scheduling.

  • Use the Remind me option to set a reminder for the task.

  • Add a Description, give the task a Color, and attach any PDF or Photos related to the task.

Subtasks Details

Subtasks are action items within the overall Task. They are useful in breaking down the steps needed to complete the overall task. Subtasks have the same details and features as a Task and can be added directly from the Task.
