Understanding and navigating the "Schedule" tab in Dispatch module

Getting Started

The "Schedule" tab is much like the "Projects" tab. Here, you'll find a neat arrangement of your projects, but there's a key difference in how the schedules are presented. In the "Projects" tab, available appointments are immediately visible, linked to their corresponding dates and projects. However, the "Schedule" tab organizes appointments by dates, displaying the time span when each appointment is scheduled.

To view appointments, you need to click on each date.

If there are no appointments on a selected date, the space will appear blank without any listed projects or times. Instead, you'll see the "Add Appointment" button along with a message prompting you to create an appointment to begin working with the schedule.


Adding appointments

When you're making a new appointment in the "Schedule" tab, there are two simple ways to do it. But before you begin, it is important to check the dates.

  1. If the date you pick already has appointments scheduled for any projects, you'll see a list of your starred projects and the times they're booked. To add a project in this view, just click on the tile corresponding to the time (column) and project (row).

  2. If the date you choose doesn't have any scheduled appointments, the space will be blank. To add a project in this view, click on the "Add Appointment" button.

Next steps:

In both cases, a window will appear where you can fill in the Date Range (for multi-day appointments), Start Time, and End Time.

Attach Projects: Choose the relevant project for the appointment. If you have numerous projects, you can "Filter by managers" or "Search by name or address".

Attach Tools: Include tools in the appointment. A handy “Search by tool name” is available if you have an extensive list of tools. Please note that attaching a tool to the appointment does not automatically assign the tool to the project.

Finally, don't forget to click the "Save" button to ensure your appointment is recorded.


Modifying Appointments

To adjust an appointment, begin by selecting the date. Double-check the details, like the time and project associated with that appointment, then click on it,

and a box will pop up. Make the changes you need, and when you're done, click "Save" to update the appointment.


Managing Appointments

Managing appointments involves a similar process. Confirm the date, time, and project, click on the appointment, and the modal will appear once again.

For added functionality:

1. Adding People to Appointments

If you need to include team members in the appointment, follow these simple steps. In the "Add Appointment" modal, you have two options:

  • Click the "+" button in line with the "People Assigned" section.
    OR

  • Alternatively, look for the "+" icon in the top right corner of the modal, then select "Assign People."

2. Including Task Lists

To attach task lists to your appointment, you can add them in two ways:

  • Click the "+" button aligned with the "Task Lists Attached" section.
    OR

  • Alternatively, use the "+" icon and select "Attach Task Lists."

3. Adding Tools to Appointments

Need specific tools for your appointment? Employ either of the following:

  • Click the "+" button in line with the "Tools Attached" section.
    ​​OR

  • Use the "+" icon and select "Attach Tools."

4. Managing Appointment Status

Locate the 3-dot icon located in the right upper corner of the modal to access options such as Confirm, Publish, Complete, Pending, or Reject. Modify the status to suit the progress of your appointment. Each time an appointment changes status, an email alert and notification can be set up in the Dispatch Settings.

5. Deleting Appointments

To delete an appointment, find the "Delete" button in the modal and confirm your choice.


Useful Tips for "Dispatch - Schedule" Tab

  1. Universal Visibility: Appointments created will appear across all tabs (People, Tools, Projects, Schedule, Appointments), except the "Availability" tab.

  2. In the "Projects" and "Schedule" tabs, you can use project colors to make viewing easier. You can set or change these colors in the "Schedule" tab. Here's how: When you're in the "Schedule" tab, hover your mouse over a project, and a downward arrow will pop up. Click on it to reveal and choose color options.

  3. Like the "Projects" section, in the "Schedule" section, all projects are automatically in the "Starred" section by default. This means that all your available projects will show up in the "Schedule" section. If you have numerous projects and only want to see a specific few, you can achieve this by deselecting them in the "Dispatch Settings > Starred projects" section.
