Steps to create your first Flow!

SiteMax Siteflow is a powerful tool that helps you keep track of the different tasks involved in managing your onsite subcontractors every day. From tracking and assigning reports, maintaining compliance requirements, and streamlining other daily operations, Siteflow makes it easy to ensure that all tasks are performed efficiently.

Your teams, both external and internal, will be able to access Siteflow with QR and work easily from one place.

Better manage onsite activity and improve job efficiency. Siteflow enhances project notices, enabling internal users to combine them seamlessly into a unified flow, and providing comprehensive information capture & display. Never let a task, message, report, or document be missed by your team again!


Siteflow Permissions

To create a Flow, users will need to be granted access permissions.

Users with View permissions can scan, view, and complete Siteflows.

Users with Create permissions can create Siteflows.

Users with Edit permissions can edit existing Siteflows.

Users with Manage permissions can delete Siteflows.

Our Tier Permissions for Siteflow allow access for all Users and Contacts, as long as they have a phone number set up with their account.


Create Flow Notices

With access to manage and create Siteflows, you can customize your Flows for specific or all projects. Flows are generated by stacking events/tasks (Siteflow Notice blocks) in sequence, simplifying the user experience for a series of tasks within a single online environment, easily accessible through a QR code.

To start, you will need to have your Siteflow Notices created - this is a prerequisite for creating a SiteFlow. SiteFlows are made up of the following types of Notices:

  • Media - Use this Notice to attach photos or PDFs for your subs to review.

  • Text - Use this Notice to call attention to important information for your subs.

  • Document Upload - This notice can be used to receive document uploads from your subs.

  • Site Report - Attach a project's Site report for your subs to complete using this Notice.

  • Safety Report - Attach a project's Safety report for your subs to complete using this Notice.

  • Signature - Receive a signature from your user by attaching this component.

  • On-Site - This notice type will appear for users to record an On-Site log with a timestamp and geolocation. Use this to log when a sub has entered the site.

  • Off-Site - This notice type will appear for users to record an Off-Site log with a timestamp and geolocation. Use this to log when a sub has exited the site.

  • Last Report - Use this notice type to show the latest submitted form for a specific Report Type. Click into the PDF to view the Report.

Whatever meets your Sub's workflow, Siteflow is easily customizable by adding custom notices to the Flow. To create one of these Flow notices navigate to your Company Settings > Modules > Notices tab > Siteflow.

  1. Click on the blue +Create Notice button

  2. Start by selecting the Notice Type

  3. Select a background color for the Notice

  4. Fill out the Layout title, text, and any attachments

  5. Click Save when complete


Create a Flow

To create a custom SiteFlow, start by navigating to your Company Settings > Modules > Siteflows tab.

  1. Click on the blue +Create Siteflow button

  2. Start by giving your Flow a Title

  3. Assign the Flow to either All Active Projects or manually select the Projects the Flow should be available for

  4. Use Project Tags if you would like to add the Siteflow to multiple projects at once.

    Once the projects are applied by tags, reopen the Siteflow to see the projects that were added.

  5. Enable Siteflow for either Users (Internal) or Contacts (External)

  6. Click Save

  7. When Saved, you will see the Add Notice button appear. Use this to add the Notices you have created for the Flow:

  8. When complete, click Save and exit the page

IMPORTANT NOTE: All users must have a phone number associated with their account in order to enter the SMX Connect Portal and to begin a SiteFlow.


Preview Siteflow

Preview the Siteflow experience and receive the Flow's QR code and/or link in any of the Projects you enabled the Flow for.

On the web, navigate to the Project's dashboard. Here you will find the Siteflow section on your Project's Day View.

Click on the Flow's name and you will receive the QR Preview document available for printing. Either Scan the QR Code with your mobile device or use the QR Link to preview directly from your browser!
